Yes, the site administrator (for Plus or Unlimited editions) may add new templates following the instructions below:

  1. Go to the Administration menu item
  2. Click on Template Configuration
  3. Expand the appropriate Template Group
  4. For new templates, select Add Template and begin working through the template details.
    • If the Template Group is different from that which was originally selected, then re-select the template group.
    • Name the template a unique meaningful name.
    • Indicate the appropriate Leave type associated with this type of correspondence (optional).
    • Since you are creating the template, the Optis Template field will default to No.
    • If you are ready to utilize the template then the Active field should indicate Yes; otherwise, indicate No.
  5. When drafting the Body of the correspondence, specific employee and case fields can be selected, which will populate the letter automatically.
    • By expanding the Field Type selection the different categories of automatically populated fields are seen.
    • By selecting any one of these fields, the Field selection will provide choices associated with the selected category.
    • In order to add the field, copy the information from the Copy Merge Field into the body of the letter.
    • This step should be repeated for all desired system fields that should auto populate in the letter.
  6. Any additional body items of the correspondence should be typed to complete the letter template.
  7. Select Save
